News Subscriptions and Subscription Messaging

Within the Govstack content management system (CMS), members of the public can subscribe to and unsubscribe from your News Categories.

You can find a list of your subscribers, what they are subscribed to, and when they subscribed using the Subscription Manager tool, found in your Govstack dashboard.

You can edit the content of your subscription page, messaging, and outgoing emails using the Subscription Messaging tools, detailed below.

The subscription process

When website visitors subscribe to receive email updates about your news posts they'll go through the following process:

  1. They'll visit your subscription page (accessible from the News node) where they fill out their first name, last name, email address, and select which news categories they want to subscribe to.
  2. Once this form is submitted they will receive an email containing a confirmation link. This email is often caught and diverted to 'Spam' or 'Junk' folders. If there are challenges have the visitor check to see if the email was diverted.
  3. Subscribers will need to click the confirmation link within 24 hours of the initial submission or the request will be cancelled.
  4. They will receive an email confirming they are now subscribed.

The messaging and emails surrounding these process can be edited using the Subscription Messaging node in your content tree.

Subscription messaging

The Subscription Messaging node contain several tabs that allow you to control the on screen messages, emails, and email template used in the subscription process.

On-screen messaging

The On-screen Messaging tab is found at the top of the Subscription Messaging node.

These settings allow you to modify the text that appears on screen as part of the subscription process.

This success message is displayed after subscribing and precedes the delivery of the Confirmation Email.

This failure message appears after attempting to subscribe and indicates a system error prevented the delivery of the Confirmation Email.

This failure message appears after attempting to subscribe. This indicates the CAPTCHA check was not passed, blocking the delivery of the Confirmation Email.

The success message displayed after confirming the subscription.

This failure message after attempting to confirm subscription. A system error or expired session prevented confirmation of the subscriber.

The failure message that is displayed after attempting to unsubscribe. A system error prevented the cancelation of the subscription.

Email messaging

These options allow you to set the content of the outgoing emails generated by the news tool.

This field overrides the default name of the organization used for the ##CLIENTNAME## token.

If this field is left blank the tool will use the name in the Global > Settings > General > Website name field.

These option configure the subscription confirmation email messaging that new subscribers will receive to validate their subscription.

Provide a Subject and Body that identifies your organization and gives information about the subscription.

Use the following tokens in the subscription confirmation email:

  • ##CLIENTNAME## - Add this optional token in either the Subject and/or Body to automatically display your organization's name.
  • ##URL## - Include this required token as a link anchor in the Body to allow new subscribers to confirm their subscription.

This configures the news notification email messaging that news subscribers will receive when news posts are published.

Provide a Subject and Body that identifies your organization, briefly summarizes your news content, and links to the website.

Use the following tokens in the news notification email:

  • ##CLIENTNAME## - Add this optional token in either the Subject and/or Body to automatically display your organization's name.
  • ##HEADING## - Place this optional token in either the Subject and/or Body to display the name of the news post.
  • ##MESSAGE## - Include this optional token in the Body to display the 'Custom Message' content of the news post. If the 'Custom Message' is not used for a news post, no content will appear for this token in the delivered email.
  • ##ARTICLEURL## - Insert this optional token in the Body as a link anchor to create a link for viewing the full news post on the website.
  • ##UNSUBSCRIBE##  - Ensure this required token is provided in the Body to allow subscribers to unsubscribe.

Email template

These options allow you to customize the template for outgoing emails.

These settings are primarily cosmetic. To edit the body text of the outgoing emails alter the content in the Email Messaging tab.

Note that the image provided as an example is static and will not change as you update your settings.

Govstack provides a base email template for outgoing messages.

Turning this option on will override the base template and use the settings below. If this option is not selected the Email Template settings will be ignored.

Add a logo image to your outgoing email using the media picker.

Images should be in a raster format (png, jpg, webp, gif - no svg files) and no larger than 500 x 500 pixels.

Note that most images in emails do not download automatically due to security and bandwidth considerations. Do not use the logo as a tool to transmit information as many viewers may not see it. 

Set the alignment for your logo image to left, center, or right.

Set the Background Color, Background Text Color, Body Background Color, and Body Text Color using the color picker provided.

Make sure that your text and background colors contrast enough to meet you local accessibility regulations.

Toggle this option on to include your organizations social media feeds in the outgoing email.

Once this option is toggle on you will be asked to provide a Social Heading, as well as URLs for Facebook, LinkedIn, Twitter/X, and YouTube.

Leaving a URL blank will exclude that social media feed from the outgoing email.

 

Enter the address line that will appear at the bottom of the outgoing email.

This can include links to websites and phone numbers but this may increase the chance that your message is treated as spam.

Content

Note that edits to the content tab in the Subscription Messaging node do not appear anywhere on the public website. If you want to alter the content on the subscription page you can edit the Subscribe node, which is a child page of the Subscription Messaging node.

Confirm Subscription, Unsubscribe, and Subscribe node

These nodes are found as child nodes of the Subscription Messaging node. Although they do not contain any content they are used as page destinations during the subscription process. Content can be added to these nodes but we recommend leaving them as is to avoid confusion.

The only exception to this is the Subscribe node which has a text field that allows you to edit the content presented on the subscription page. You may want to add additional information here regarding privacy or terms of use as they pertain to news subscriptions.
