Content Reviews

Content reviews in the Govstack content management system (CMS) let you setup automated timers and email reminders to help keep your website information fresh and up to date.

To use content reviews on your site you will first need to set up approval groups.

Content review configuration

Content reviews are disabled by default. To use this feature, you'll need to activate it and configure it's setting.

To activate and configure content reviews, follow these steps:

  1. Navigate to the 'Workflow' section in Govstack’s back office. You may not have access to the 'Workflow' section, depending on your site permission. Contact your website administrator for assistance.
  2. Select 'Content reviews'
  3. Select 'Settings'
  4. Configure the settings as required. See the list of settings below for details.
  5. Select 'Save settings'

Explore each of the settings below to configure your content reviews.

Activates the content review features. This applies content reviews to all nodes in your site. However, nodes or document type reviews without assigned approval groups will not send notifications or show an option to review. These pages will appear in the Overview report.

When enabled users in approver groups assigned to content reviews will receive email notifications.

When enabled, saving the node will be treated as a review. This will cause the next review date to be recalculated based on the node's assigned review period.

This is the default time period between required content reviews. This can be overridden based on the settings of specific content reviews, either node based or document type.

The number of days prior to the review deadline Govstack will send reminder notifications. This is only applicable if notifications are enabled.

Create content reviews - node based

To create a specific content review based on nodes, such as web pages or news posts, you need to:

  1. Navigate to the 'Workflow' section in Govstack’s back office
  2. Select 'Content reviews'
  3. Select 'Settings'
  4. Select 'Add' in the 'Content item reviews' section
  5. Select the target node in the content tree
  6. Choose a language from the dropdown. Content reviews are created on a language by language basis, so multi-lingual sites will need to create additional reviews for each language.
  7. Set 'Exclude from review' as required. This option is provided to remove specific nodes from the review process.
  8. Set 'Review period (days)' to reflect the desired time between reviews
  9. Select 'Add' in the 'Review group' section and check the approval groups assigned to the content review
  10. In the 'External reviewers' field enter the emails for approvers that are not Govstack users
  11. Select 'Submit'
  12. Select 'Save Settings'

Nodes can be excluded from content reviews by applying a content item review and selecting the 'Exclude from review' option.

Node reviews are inherited by child nodes in the content tree. Applying a content review to your home node will apply those review settings to all the nodes in the site.

Create content reviews - document types

Note that content reviews by document type is a license only feature. For details and setup please contact your GHD Digital Account Executive

To create a content review based on document types:

  1. Navigate to the 'Workflow' section in Govstack’s back office
  2. Select 'Content reviews'
  3. Select 'Settings'
  4. Select 'Add' in the 'Document-type reviews' section
  5. Select the target content type
  6. Choose a language from the dropdown. Content reviews are created on a language by language basis, so multi-lingual sites will need to create additional reviews for each language.
  7. Set 'Exclude from review' as required. This will remove all documents of the selected type from the review process.
  8. Set 'Review period (days)' to reflect the desired time between reviews
  9. Select 'Add' in the 'Review group' section and check the approval groups assigned to the content review
  10. Select 'Submit'
  11. Select 'Save Settings'

Content reviews are inherited from parent nodes. Nodes can be excluded by applying a content item review and selecting the 'Exclude from review' option. To apply content reviews to all nodes in your site, you can add a review to your Home node.

Overview

The overview report provides a list off all nodes that are currently pending review in the Govstack CMS.

To access the overview report, you need to:

  1. Navigate to the 'Workflow' section in Govstack’s back office
  2. Select 'Content reviews'
  3. Select 'Overview'

The overview report may show nodes that require review that have not been assigned to approval groups. These nodes will not send notifications or provide the option to 'Mark as reviewed' unless an approval group is assigned.

You can select a node in the overview report to jump to that page for review.

Refreshing the overview

The overview report may not reflect the desired timing for reviews, and may not include updates made to the content review tools. To correct this, the tool can be refreshed.

This process also allows you to reset the timers for content reviews across the site.

To refresh the overview report, you need to:

  1. Navigate to the 'Workflow' section in Govstack’s back office
  2. Select 'Content reviews'
  3. Select 'Save and regenerate'
  4. Set 'Generate review dates relative to' as either 'Now' or 'Last published'
  5. Select 'Force' to reset all content review timers
  6. Select 'OK'

The overview menu may take some time to refresh if you have a large number of content reviews pending.

Reviewing a node

To review a node and reset the content review timer, you need to:

  1. Navigate to the to the target node, either using the content tree or the overview report
  2. Review the node's content and make any updates required
  3. Navigate to the 'Content' app
  4. Select 'Mark as reviewed'

As an alternative, publishing the page may also act as a review. This is dependent on the 'Treat publishing as a review?' option under the content reviews settings.
